The SelfHelpWorks admin has been updated to increase end-user PII protections with additional requirements and auditing whenever PII privileges are given to an admin. On the SelfHelpWorks product website, the new user process has been streamlined to improve the user experience.

Increased Admin PII Protections
Personally Identifiable Information (PII) refers to any data that can be used to individually identify a user. This includes information such as a user's first name, last name, email address, etc.
PII is protected within the SelfHelpWorks admin website and access to PII is controlled by a special PII permission which can be assigned to individual admins. Admins with this special permission will see PII in places such as the Customer Service module, detailed reports, etc.
We have made the following changes to allow our clients to better comply with regulations or company policies related to PII:
- Access to PII in the SelfHelpWorks admin site can be enabled or disabled for an entire company account. If disabled, Company Admin's cannot assign the PII permission to any company admin account. This setting can only be set by SelfHelpWorks staff. Please contact your account executive to make a change to this setting.
- Admins with the CompanyAdmin role no longer have the PII permission by default
- When a company admin attempts to enable PII for an admin, including for themselves, the SelfHelpWorks system will now display a confirmation box with a warning message detailing the responsibilities of PII protections. The admin must check a box confirming they've read the message AND click a confirmation button to make the change.
- When PII permissions are granted to an individual, the SelfHelpWorks system will create an audit entry that records who enabled it, for whom it was enabled, and when it was enabled.
These measures help to ensure that PII permissions are granted to admin users with full awareness and intent by authorized company admins. Keeping detailed audit entries ensures that history related to PII is accurate and accessible.
Agreement to Terms Added to Admin Website
As the new admin website continues to expand in scope and functionality, we have added an "Agreement to Terms" condition that must be accepted before access is given. The agreement is a relatively short explanation of the responsibilities and conditions-of-use regarding the admin website.
What this means for the client:
Company admins will need to re-authorize PII access for applicable accounts created before this release. All admin users entering the website for the first time following this release will be required to accept the agreement of terms.
New User Process Streamlined
SelfHelpWorks has streamlined the portal registration process to help new users reach content faster. The single sign-on (SSO) landing page has been merged with the portal registration page to reduce the number of clicks for a user to register on the website. Further, if the SSO data includes all required registration data, the registration fields do not display. This reduces the amount of information a user previously had to review before proceeding.
SelfHelpWorks has included additional functionality to the portal registration page. The portal registration page now includes an optional message which you can add or update through the SelfHelpWorks admin. The portal registration page now asks for a user's mobile phone number. This is an optional field, and will be used to increase engagement using text messages.
What this means for the user:
New users will have a cleaner, easier, and more streamlined experience in their registration process.
